Terms of Service

These terms govern your use of Dialogue, the software applications (macOS, iOS, web), and any optional sync and collaboration services operated by BaseDatum. By using Dialogue, you agree to these terms.

What You Own

Everything. Your notes, transcripts, recordings, and all data you create in Dialogue belong to you. We claim no ownership, license, or rights over your content. Period.

What We Provide

Dialogue is a local-first application. The core product — note-taking, meeting transcription, speaker identification, and search — runs entirely on your device with no account or internet connection required.

If you choose to create an account, we provide optional services:

  • Encrypted Sync — End-to-end encrypted sync of your notes and transcripts across devices. The server stores only opaque encrypted blobs and cannot read your content.
  • Real-Time Collaboration — Live multi-user editing when you explicitly share a document.
  • Web Access — A web app for accessing shared and collaborative documents from any browser.

Privacy and Data Collection

Analytics

We collect anonymous, aggregate analytics using Aptabase, a privacy-focused analytics platform. These analytics:

  • Contain no personal information — no names, emails, IP addresses, or device identifiers
  • Cannot be linked to any individual user — there is no user ID, session tracking, or fingerprinting
  • Are fully anonymous — we see aggregate event counts (e.g. “a recording was started”), nothing more
  • Cannot be used to reconstruct your activity — events are stateless and unlinked

We use this data solely to understand which features are used and where errors occur, so we can improve the app. That’s it.

What We Never Collect

  • Audio or transcription data
  • Note content, titles, or metadata
  • Search queries
  • IP addresses or location data
  • Device identifiers or fingerprints
  • Browsing or usage patterns tied to an identity

Accounts

Accounts are entirely optional. You are never required to create one. If you do create an account, you can delete it at any time — this removes all server-side data associated with your account, including encrypted sync blobs.

Encryption

When sync is enabled, all data is encrypted on your device before transmission using ChaCha20-Poly1305 with per-document 256-bit keys. The server is zero-knowledge — it cannot decrypt your data. If you lose your password and have no device with a cached master key, your synced data is irrecoverable. This is by design. See Encryption for technical details.

Availability

We make reasonable efforts to keep sync and collaboration services available, but we do not guarantee uptime. Because Dialogue is local-first, the app continues to function fully offline regardless of server availability. Your local data is always accessible.

Acceptable Use

Don’t use Dialogue’s services to:

  • Violate any applicable law
  • Distribute malware or abuse the infrastructure
  • Attempt to access other users’ data or circumvent encryption
  • Interfere with the operation of the services

We reserve the right to suspend accounts that violate these terms.

Modifications

We may update these terms from time to time. Material changes will be communicated through the app or website. Continued use after changes constitutes acceptance.

Open Source Components

Dialogue uses open source libraries and components. Their respective licenses apply. The sync protocol and encryption design are documented publicly.

Limitation of Liability

Dialogue is provided “as is” without warranty. BaseDatum is not liable for data loss, service interruptions, or damages arising from use of the software. Because of the zero-knowledge encryption design, we cannot recover data on your behalf.
